The Dutch society, "Natuurmonumenten" is an independent organisation which aims to preserve nature, landscape and cultural history for future generations. By acquiring natural areas, the society can protect animals and plants which are native to the Netherlands and enable people to enjoy the countryside by providing footpaths, cycle paths, observation points and excursions. Natuurmonumenten's Facility Management Dept., responsible for the company's fleet, uses a Fleetlogic Tracking&Tracing solution to manage and control the fleet's costs.

Edwin van Bokhoven, responsible for Natuurmonumenten's Application Controls, uses FLEETWIN.NET software. FLEETWIN.NET is an online client-server application which allows him to obtain the information he needs from the internet.

This way, Van Bokhoven can file accurate and up-to-date reports to several other departments within the company. After their appoval, the files are handed over to Administration.

Climate Neutral Use of Vehicles

The Fleetlogic solution is built in 115 vehicles, which are managed by 32 units. The solution exists of an Fleetlogic boardcomputer with GPS and GPRS communication module, and is mainly used to simplify Project registration and ride data. Alongside, Natuurmonumenten has a 'Climate Neutral Group', working on getting a better insight in the use of the vehicles. "The Climate Neutral Group evaluates the use and efficiency of our entire fleet," says Van Bokhoven. "Through this new Fleetlogic solution, this group can obain clear and accurate data on the use of our vehicles by different units. They can, for example, check which vehicles are hardly used at all."

Staatsbosbeheer as a reference

Before chosing Fleetlogic, Natuurmonumenten consulted Staatsbosbeheer; an independent administrative body whose principal is the ministry of Ministry of Agriculture, Nature and Food Quality. They had a tender for the installation of a ride data registration system for their fleet and have now also chosen a Fleetlogic solution. The implementation of the Fleetlogic solution went smoothly, according to Van Bokhoven. "We had clearly informed our employees the whole meaning of the system and why we thought it was important to have a clear insight in the performance and use of our vehicles." he explains. "We disclosed the entire process, so that the user of the vehicle could see exactly what, and more so how, certain data would be registered with this new system." He admits that a 'Big Brother' feeling amongst colleagues was present at the beginning, but with clear and open communication, this feeling almost completely disappeared. Together with the Project leader of Fleetlogic, it was set up in a manner where every department's (Finance and Facility Management) responsibility remained clear throughout the course of the entire implementation.

More time for important matters

Every month, the automatically generated reports are being distributed by Van Bokhoven to the person responsible within the unit. Each person checks the data with their own agenda and approves by e-mail. Tracking&Tracing is not being used, as this solution would not show the information important to the company. The effect of the Fleetlogic solution is mainly shown in the effectiveness. Mileage registration has purely become an automatic process. This way, all those concerned have more time for important matters, and the number of mistakes has decreased because it is no longer a manual, handwritten, report. "The reports give a clear insight into what is important to our company and valuable data." Says Van Bokhoven. He says that the Climate Neutral Group also desires a solution where the actual mileage per vehicle is displayed by date. Due to FLEETWIN.NET's flexibility, Fleetlogic can provide such data, according to the customer's wishes.
